A model week of a door and operator company
The week below is a model. It shows how ServisBook puts together the work of a company with five technicians that surveys and installs industrial and garage doors and also goes round operator inspections and complaints.
Monday: surveys at two sites
In the morning one technician goes to survey sectional doors for a new hall, and in the afternoon a sliding gate at a family house. Both visits are appointments of orders on which the installation will later take place too. The technician uploads the opening dimensions and photos straight to the order, so the office sees them the same day and can prepare the purchase order.
Tuesday and Wednesday: industrial door installation for two installers
Installing two sectional doors needs two people for two days. On the board it is one continuous bar and capacity is deducted for both on both days. When the investor moves the building handover, the whole installation moves and nobody gets anything else planned in the meantime.
Wednesday evening: handover with a report
After the installation the technician goes through the checklist for the task Sectional door installation: safety features, end position settings, operator training. They photograph the operator label and the customer signs the report with a finger on the phone. When the order is switched to its final status, the app asks whether to add the doors to the register; their first inspection falls due according to the interval set on the type.
Thursday: operator inspections at four addresses
In the Recurring services overview, addresses with an approaching inspection deadline are shown in orange. For each of them the dispatcher uses the Create order button to prepare one order for all the doors at that address. Plan all suggests an order of visits based on travel and shows the distance in kilometres and minutes for each appointment.
Friday: a complaint and a photocell replacement
A customer reports that the door stops halfway. On the door card the technician sees when and what was last done on it, and notes from colleagues on earlier visits. They replace the faulty photocell, log the task and record the result. The next inspection deadline is calculated from the day the inspection actually took place.
Saturday: day off
Nobody goes out at the weekend. Monday's plan has been ready since Friday and every technician has it in My day: an address that opens the map, the on-site contact and the list of tasks. Nobody copies out a rota and nobody calls on Monday morning to ask who goes where.
