A technician's daily agenda without installing an app

The app for service technicians in ServisBook is the My day screen. On the phone the technician sees today's appointments with the address, the customer's phone number and tasks, starts and finishes work, logs tasks and records equipment check results.

It runs in the browser, nothing is downloaded from an app store. On the phone there is a bar at the bottom with the most used sections and the other sections are in the menu.

A technician's day step by step

What a technician does on the phone from the morning until handing the work over to the customer.

1

In the morning they open My day

They see only their own appointments for today: time, appointment type, order, customer and the tasks that belong to the appointment. With the arrows in the header they look through tomorrow in the evening.

2

The way to the customer

The address on the appointment card is a button and opens the place on the map. The customer's phone number is a button too and dials straight away.

3

They start work

The Start work button records a start timestamp and the appointment moves to the in progress status. From that moment the dispatcher in the office sees it too.

4

Photos, checklist and equipment

With the Take photo button they attach a picture straight to the order. They fill in the checklist for the appointment and record OK, Fault or Not done for each piece of equipment.

5

They finish work and log it

They choose Completed or Unfinished, tick off the tasks done, adjust quantities, add extra work and possibly a note for the office.

6

Handover and signature

The customer signs the handover report with a finger on the phone. The signature is inserted into the PDF together with the signer's name and the date.

My day shows only appointments the technician is on

Every appointment where the technician is on the crew gets into My day. What matters is the assignment to the appointment, not who is listed as responsible for the order. When the day is empty, either nothing is planned for the technician or they are not assigned to the appointment.

  • The appointment card shows the time or “whole day”, the order number and name, the customer, the appointment status and work timestamps.
  • An admin can open My day too, but always sees their own day, not a colleague's.
  • An emergency the dispatcher plans during a call with the New appointment dialog shows up in the assigned technician's My day like any other appointment.

Finishing work: what did you do?

The Finish work button opens the “What did you do?” panel. The list of tasks is prefilled from the appointment plan, so the technician usually just confirms what actually happened, adjusts quantities and adds extra work that was not planned.

  • The Unfinished option leaves the appointment open, so the order does not end up among the completed ones.
  • A note for the office is optional: what needs sorting out, what was missing.
  • When it turns out the work has not finished yet, the Start again button reopens the appointment.
  • When the technician has no way to do it, the office logs the tasks. The result is the same.

Equipment, checks and notes right at the appointment

When the order has equipment, the appointment card has an Equipment section with the label, type, location and serial number of each piece. Below it are checks with three large buttons: OK, Fault and Not done. An OK or Fault result moves the equipment due date; Not done leaves it where it was.

  • For a fault and a check not done a note is mandatory and always goes into the report for the customer.
  • Other notes are company-only until the technician deliberately ticks Into the customer report.
  • A piece missing from the register is added with the Add equipment button. It is saved to the customer and to the order.

Photos and a report without paper

On the phone, the Attachments tab has a Take photo button. The picture is attached straight to the order, without saving to the gallery, and is reduced before upload, so it uploads quickly even on a weak signal. At the end of the work the customer signs the handover report with a finger on the phone.

  • You can attach a PDF too, for example a drawing or a delivery note.
  • When one of several files fails to upload, the others keep uploading.
  • With status automation turned on, a signed report switches the order to completed.

What a technician may do in the app

The admin sets permissions for each technician in the Technicians section. A technician with the assigned only permission does all the field work on their orders: starts work, logs tasks, fills in the checklist and has the report signed. They only see other orders. A technician with write everywhere may handle the whole operation including planning; a technician with read only has the app as an overview and changes nothing. Company settings and user management stay with the admin.

You add a subcontractor or a temporary worker as an external technician. They see only the orders they are assigned to and do not see the customer list or the rest of the company. On their orders they work as a technician, but they do not create orders, appointments or appointment proposals. Of the company they see only the name and phone number of the admin and colleagues, so they know whom to call.

What the office sees of it

Starting work switches the appointment to in progress and the dispatcher sees it in that status too. The Today screen has an In the field strip with today's visits, the technician and the order status. Photos, the work report and check results stay on the order, so nothing is forwarded. How to keep a record of work at the customer is discussed in the article Recording technician work at the customer; how it looks in operation is shown by the industries Service and installation and Plumbing, heating, gas.

A technician is an ordinary app user and is paid for the same as a planner. You will find the details in the pricing.

Questions

Frequently asked questions

Does the technician have to install an app?

No. ServisBook runs in the phone browser. The technician gets an invitation from the admin, opens the link in it, sets a password and then logs in with e-mail and password.

Does the app work without a signal?

No, ServisBook needs an internet connection. Photos are reduced automatically before upload, so they upload quickly even on a weak signal.

Will a technician see colleagues' orders?

It depends on the permission. A technician with the assigned-only permission sees other orders but does not change them. An external technician sees only the orders they are assigned to; the admin can allow them to read selected colleagues' orders.

Can a technician enter their own holiday?

It depends on the permission. A technician with write access enters a holiday themselves as an internal or personal event in the New appointment dialog. For a technician without write access, for example with read-only permission, the admin enters it.

What if the technician forgets to record a check result?

When finishing work the app asks whether to record it now or finish anyway. Without a result the equipment due date does not move.
